When you make an application for residence and sign up to a residential agreement on our website, we and our affiliated companies collect personal information from you, including your name, your age and sex, nationality, your postal address, your phone and e-mail details, emergency contact details, photograph, payment card details, information about your university and the course you are enrolled on, information you provide to us relating to your application for residence, and if you are under the age of 18 details of a parent or guardian who will act as a guarantor.

You may also give us information about you when registering to use our website, placing an order on our website for goods or services, entering into a competition, promotion or survey, participating in discussion boards or other social media functions on our website, applying for jobs via our website and when your report a problem with our website or otherwise correspond with us by phone, e-mail or otherwise.

When you visit our website, we may collect information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

Information that you provide to us about other people

If you provide us with any personal data about another person you confirm that you have first obtained their consent to do so and have told them that their personal data will be processed by us in accordance with this policy.

  • To maintain records for the proper administration of the student village on behalf of the owner of the village;
  • To advise you of matters which are relevant to your application to be offered a place at the village or your residence at the village if you accept a place which is offered to you, including goods and services on offer by us;
  • To carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
  • To maintain our relationship with you as a resident of the village;
  • To comply with legislative and regulatory requirements and otherwise fulfill our legal obligations;
  • To notify you about changes to our services;
  • To ensure that content from our website is presented in the most effective manner for you and for your computer;
  • To allow you to participate in interactive features of our services, when you choose to do so;
  • As part of our efforts to keep our website safe and secure; and
  • To process orders for goods and services you have placed via our website.

In addition, we may combine information that we receive about you from third parties with information you give to us and information we collect about you. We may use this information and the combined information for the purposes set out above (depending on the types of information we receive).

We may share your personal information with any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

We may disclose your personal information to third parties in the following circumstances:

  • We may disclose your personal data to our business partners, suppliers and sub-contractors for the performance of any contract we enter into with them or you.
  • If we sell or buy any business or assets (in which case we may disclose your personal data to the prospective seller or buyer of such business or assets).
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of CLV, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
  • We will also share your personal data with the relevant authorities, as far as it reasonable to do so and where appropriate, in order to seek council tax exemption on your behalf.
  • If you do not pay all monies owed by you under the residential agreement, CLV may provide relevant personal information to a debt collection agency. If you are under the age of 18, we may disclose information to the guarantor named in the residential agreement; We may disclose your personal data to third parties who provide web analytics services to us (including, for example, third parties who analyse our users’ online behaviour in order to improve the way in which we advertise and market goods and services);
  • We may disclose your personal data to third parties who help us provide our services to you. In particular, we will share your personal data with StarRez Pty Ltd which hosts the online portal through which you apply for student accommodation;
  • We may share your personal data with our advertising partners who may contact you by email, post or social media about offers and promotions.
  • We may share your personal data with your university where the university requires such information for administrative or pastoral purposes, or for the purpose of safeguarding student welfare.

The personal details you provide to CLV in an application as parent/guardian may be maintained by CLV for the purposes of administration and used to contact you in case of non-payment by the resident. If you (as parent/guardian) do not pay all monies owed by the resident under the residential agreement, CLV may provide your relevant personal information to a debt collection agency.

Where and how we store your personal information

We may transfer your personal information to countries that are outside the European Economic Area (including to Australia, where CLV’s server is currently located). Please be aware that countries which are outside the European Economic Area may not offer the same level of data protection as United Kingdom, although our collection, storage and use of your personal data will continue to be in line with this privacy notice and the Act.

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted using SSL technology. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. You must not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk.
